Thanks for the replies and suggestions.

The info in the bounceback message provided me with a Symantic website URL and error 553 as a reference. That error reference on the Symantic site indicated that my public IP was listed in the Spamhaus PBL. Primary fix is removal from the PBL. Secondary fix is to have my email address added to the Symantic Cloud Approved Sender List at the recipients organisation, so will be trying to do that tomorrow.

But contrary to the primary fix above, the FAQ's on the Spamhaus website states the following:

 

Help! My IP address is on the PBL! What should I do?

Nothing, in most cases. Read through this FAQ for further explanations.

The first thing to know is: THE PBL IS NOT A BLACKLIST. You are not listed for spamming or for anything you have done. The PBL is simply a list of all of the world's dynamic IP space, i.e: IP ranges normally assigned to ISP broadband customers (DSL, DHCP, PPP, cable, dialup). It is perfectly normal for dynamic IP addresses to be listed on the PBL. In fact all dynamic IP addresses in the world should be on the PBL. Even static IPs which do not send mail should be listed in the PBL.

PBL listings do not prevent you sending email unless your email program is not authenticating properly when it connects to your ISP or to your company's mail server. This can happen if you have forgotten to turn on 'SMTP Authentication' or if you have switched 'SMTP Authentication' off by mistake.

 


As per my original post, I have SMTP Authentication selected and am using Port 587.

Can you post a screenshot of your email configuration? Black out anything sensitive. Also post as much of the email/reply you're getting back as possible, including any headers.

From those logs, it looks as if you are authenticating with the SMTP server correctly, but that the SMTP server is listed on some blacklist.

A quick search shows the mail server at omr.mail.isx.net.nz is listed on at least some black lists. Interestingly this resolves to 111.65.230.130, whereas mail.1stdomains.co.nz resolves to 111.65.230.88 (which doesn't appear to be listed).

In short, it's not your IP address that's the problem, it's the IP of your mail server and the policy of the receiving company's mail server.

Yep your email server is in at least three blacklists. Either get it off (difficult) or change to a commercial email service.

Thanks timmmay. I thought I was using and paying for a commercial email service. Sounds like I'm not.

One more twist. I logged into my Gmail via the Web to send the message and got the same bounce back. Here are the details.

Delivery to the following recipient failed permanently:

All in all I suspect the recipient has configured their server for maximum spam filtering but have gone over the top.

You may be paying for email server, but you're probably not paying the right people. Google, Microsoft, or Fastmail are good, reputable email hosts. Additionally AuthSMTP is a good sending service (SMTP) that lets your emails go out reliably but keep your existing server for receiving. I got sick of email problems and emails not arriving, I switched to FastMail a couple of years ago, it works well and is well priced.

Understood. I've just renewed my email hosting in March for another year, so will review next year, or earlier if I have further issues. Not had any issues in the past 4 years since I switched to them. I was using SMTP2GO for a number of years for the smtp server prior to that.

Email hosting is around $150/year. If one important email gets through that's probably value - especially if it's a proposal, invoice, etc.
