A Not-for-profit that I do some work for has started having problems with their email being bounced by some ISP's, iHug & Vodafone because of:

554 Your access to this mail system has been rejected due to the sending MTA's poor reputation. If you believe that this failure is in error, please contact the intended recipient via alternate means.

Now the email host, Crazy Domains, suggests changing email settings for SMTP to the ISP server, xtra. However xtra requires each email address to be verified which isn't going to be easy with 40+ email addresses. It seems I can't just authorise one 'master' address and use that to authorise each email account to access the SMTP server which was my first work around.

So what can I do?
1. Change email host
2. Change ISP
3. Go back to using snail mail!

I personally would change to GMail as a host (keeping the organisation's domains of course) - it's still going to be as much if not more work than validating with Xtra, however, even xtra's servers have entered a black list on a couple of occasions.

Don't think anyone is ballsy enough to blacklist gmail servers. Also the cost may be a factor of going to gmail.

Contact the mail host to see if they are doing anything to improve their reputation.

Try setting up SPF records as that seemed to sort issues for a friend who was in the same boat.

Otherwise change mail host to someone without reputation problems.

You could use AuthSMTP as your MTA. They're relatively cheap, a specialist email delivery company. I've been using them for a few years, my email gets through more reliably than before.

Gmail is a good option for a NPA, officers change and you dont need to recover email from them, the features of gmail and the whole suite of apps it brings can be very appealing to small NPA.
