Ragnor: What version of Outlook/Office? The older ones have terrible IMAP support.

I am using Outlook 365.

Where can I download this ActiveSync app people are speaking about? The only one I can find is if your business uses their domain in the Gmail interface, and you only get so far in the steps before downloading and using the program that in order to use the app, you've got to sign up to such service.

Hi, Googles ActiveSync is only for paid Google accounts.

Yep, connecct it via IMAP which will create a Gmail inbox folder, then drag folder by folder from the existing inbox/folders to the Gmail one. They will then continue to sync.

Stevie: Every time I open Outlook, it will automatically sync the folders with what Gmail contains. Once emails are downloaded once in Outlook, unless they are modified, will I not re-download them again, thereby saving bandwidth (noting ones that contain large attachments, and factoring in when I will be on my pre-paid mobile broadband connection)?

It doesn't matter which order you do it in, so long as the connection to Gmail is established before you start dragging and dropping. It is a manual process, and depending how many messages are in your Outlook folders, it may take quite a long time. Gmail will create any folders needed in your Inbox if they don't already exist.

Best idea is to do it in several decent-sized chunks, so if something craps out, you can pick up where you left off.

I can only go from personal experience there, according to what I have seen with Outlook, Outlook Express and Thunderbird whilst using IMAP.

In theory, messages are not supposed to download again unless modified, but I've seen it happen many times, with all of the mail clients mentioned above. All the messages in a folder seem to get downloaded again, every so often.

For this reason, I keep my Inbox, Sent Items and Deleted Items down to manageable levels, rather than containing months and months worth of emails. It seems as though IMAP gets its knickers in a twist every so often, for whatever reason. From what Cyril is saying, paying a few $ per month for a paid Google account and then using Active Sync may be a better option if you have a large quantity of emails you need to keep in sync. Or simply move everything to the cloud as he says...

sbiddle: The best option for syncing with gmail is/was Activesync, this is vastly superior to IMAP in every way and gives you access across multiple devices with ActiveSync support. Unfortunately Google are dumping ActiveSync support soon so even if you set it up it'll eventually stop working.

Isn't Google only dumping active sync for free accounts not the paid business accounts due to Microsoft licensing costs for it.

IMAP doesn't have push which sux for mobile but on a desktop or laptop most user's don't notice the difference in the connection method.

Support for ActiveSync is being retired anyway, for everybody. If you have the Google Outlook Sync app installed it will continue to work. But you can't install it anymore.

This also affects Windows Phone sync to Google apps - that's why Microsoft is working to implement other *DAV protocols in Windows Phone.

Hi, just to clarify, not everybody, paid Google Apps users will continue to have ActiveSync as there annual subscription pays for the MS licence.

Unless you have been told otherwise?

Maybe I'm misunderstood what you meant, but as far as I know the Google Outlook Sync tool doesn't use ActiveSync. Also, the Outlook Sync tool is still available and has just been updated to support Outlook 2013, but it's only for Google Apps Business customers. https://tools.google.com/dlpage/gappssync

I recently migrated my parents email from xtra -> gmail. Spent ages setting up imap for outlook 2007, but it was awful, would always crash etc. I found pop3 stable, but imap was terrible. In the end I just uninstalled outlook 2007, so they are now forced to use gmail web interface.

It's interesting to read that other imap clients like thunderbird work well for gmail, I wish I had gone that route, instead of spending over 3 hours copying outlook folders into gmail with constant crashes.

PS. When I was using outlook 2007, it seemed to constantly re-download messages.

Which cloud solutions are available, other than Gmail?

How good is Outlook.com? I gather it is basically an online version of Outlook 365, but I'd prefer to use Outlook 365 if I'm at my laptop, and outlook.com if I'm not with my laptop. Can I send using smtp.clear.net.nz on outlook.com?

I tried setting up IMAP in Outlook and Gmail. I got as far as being constantly asked for my Gmail username and password in Outlook 365, that whenever I provided it I would get a send/receive error. I soon gave up on starting the initial task of having Gmail and Outlook sync.

Correct, Google Sync is now only available for business, education and government - not for free GMail.

The OP seems to be using GMail.

Indeed I have a Google email address.

What alternative cloud solutions are there for email? Can you use smtp.clear.net.nz when using these cloud servers?
