Hi,

 

I am on the committee for our local sports (rugby) club here in Christchurch, New Zealand. We are struggling to find sponsors in the wake of the Covid pandemic and are looking into starting a social membership scheme where members of the community and supporters can sign up to become a social member of the club for $25/yr. This money will go directly to the club to help run the various teams we field in the local competition.

 

I would like to setup a simple way for people to sign up to this social membership scheme without having to deal with direct bank transfers and keeping track of names/emails manually. Is this something PayPal can help with? Ideally there would be a button on our website that takes them to a payment portal (PayPal) where they can either sign up for a single $25 payment (one-year membership) or a recurring $25/yr payment which is automatically collected by PayPal until they decide to cancel.

 

We would need to keep track of who had signed up so we can add them to our local database of social members.

Might be able to look at teamstuff for this.  It does have the ability to send invoices and possibly collect payments.

 

I did see during lockdown they had issues (they've overseas) but then might have been bailed out and continue to run.

Yeah I don't really want people to have to manage a login and signup etc. Just click a "Join" button on our (very basic) site for the club, and be taken to a payment portal where they can make a one-off payment or setup a recurring (yearly) subscription - a bit like we do for GZ subs.

 

I realise PayPal will take about 5% but that seems reasonable for all the manual hassle we currently have to do with bank transfers etc.

Pretty new to this stuff - how easy is it to setup something like WooCommerce? This is a rugby club run by volunteers and I am the only one with any IT experience, and that includes zero web stuff.

 

And how would that differ from using PayPal directly? Just not sure we need a full webstore - i.e. it is just one product effectively, a yearly social membership subscription.

 

It is very similar to the GZ model really - no products, just a one-off or recurring fee.

 

Does anyone have insights into how easy this is to do with PayPal? I can see the fee structure which isn't ideal (works out to about 5.2% for a $25 subscription) but for the time and effort it would save I think it might be worth it.

So at the risk of making more work for you (though trying to be helpful, honest!):

 

  • You might want to check with the local rugby union. I'm in a similar situation to you being dragooned politely asked to help with my local sports club, but football in my case. Football has a membership platform ("COMET") that is used for membership payments. Something similar might be available for rugby?
  • Do you have an accounting system? MYOB? Xero? There are some options for each of those that can take payments, and something compatible will help to deal with reconciliation afterwards.
  • Have you spoken to an accountant? Sport club donations usually aren't tax deductible, but depending on how they are structured, you may need to account for GST.
  • Who do you bank with? Some banks have their own helpful(ish) options.
  • Is your club registered for TechSoup? It is a bit of a pain to register, but there is some potentially helpful stuff on that platform (though so far as I know, not a simple "click to pay here").
  • You might like to look at the likes of Givealittle. Won't deal with the recurring payment idea (so far as I know) but it is a simple way of raising money on a one off basis.

Appreciate the reply, don't worry I don't doubt your intentions!

 

  • There is nothing similar to COMET for rugby AFAIK, but I will ask the question
  • No accounting system, everything done manually - we are pretty small
  • Haven't done this TBH, probably something to add to the list
  • Not sure, will have to ask the treasurer, but I would be very surprised if a bank offered a portal to accept membership fees, happy to be proven wrong tho!
  • Not that I am aware of, will look into it
  • We want this to be an ongoing scheme - get people signed up and contributing each year to help the club - we don't have much and struggle year-to-year to meet costs so every dollar helps

TBH do you need to go to such lengths. Why not just give each individual a membership number to use as a reference, the club bank account details, send out a bulk email annually and down load the bank statements into an excel spreadsheet where you can rank by membership number.  Not to labour intensive.

Yep - that is pretty much what we are doing currently. It is just a bit a work for the member - since they have to register with us to get their number, and then make sure they put their number in the reference etc - and then obviously the work on our end to marry everything up and maintain the details.

 

A single click which lets them enter their CC number and email address and everything is automated from there has a lot of appeal - but if it turns out to be too much effort then we will stick with the status quo. Hence my question on here to see if anyone else had done something similar or if there were any tools/tips I was missing.

One thing I might suggest when you get your system sorted - I'm also involved in a club.

 

When our club was in a similar position our new chairman suggested that we give people the option to pay more. This has worked for us, a certain percentage of members make a donation on top of their fees.

 

Also, merchandise might be a way to add value and get donors up to the next 'tier' ($50?). Know any one who could design a cool t-shirt?

We use these guys for club management etc. https://www.revolutionise.com.au/ They are also used by some of the governing bodies too. Very flexible/configurable and include payment gateway with small percentage. There is a bit of setup initially, but it is a full ecosystem which includes website et al.
