Every six months or so my orcon mail server fills up, seems pretty small at only 1 gig.

I spoke to help about it tonight, and they said the only way to delete messages was by going through one at a time and deleting them off the server. This would take HOURS.

Is there not a simpler way?

I use outlook 2016, is it not possible to have outlook delete old emails as it goes and back them up?

I do obviously access the emails on my phone as well, so I guess I need some sort of server. But really, it seems like the clunkiest most un-user friendly system ever

Use an email client like Thunderbird, sort by size, delete as a batch. With Thunderbird you can delete attachments without deleting the email. You can also drag and drop email from the server to your PC for archiving, but be sure to keep backups. Mailstore Home is good for this, back its database up to Dropbox, Amazon, etc.

Or just start using gmail.

Yes, look for a feature called "auto-archive". I have no idea why you'd use Thunderbird over Outlook.

POP based email isn't really designed to be kept on a server and accessed by multiple devices. If you want to keep that approach then you're going to run into issues such as this.

What do you do with your email that has 1GB? I have my last 16 years worth of email on a hosted exchange server that only uses around 3GB.

Nothing too exessive I didn't think.
It's my work email, so there's a fair few pdfs. Nothing huge off the top of my head.
Problem is, when it gets full I only delete about 50% because it's so labour intensive.
Thunderbird looks like it might be able to do what I want it to. I'll do a bit of digging

Outlook already has auto-archive... it's quite powerful.

Outlook, thunderbird, either is fine and outlook probably easier for most. Thunderbird is free, I've used it for maybe a decade.

Just use Orcon webmail - you can easily delete 50 emails at a time - this takes seconds, not hours.

Just use Orcon webmail - you can easily delete 50 emails at a time - this takes seconds, not hours.

But it's the messiest most disorganized list of emails ever. Pretty easy to delete emails you want to keep

And on top of that there's no warning system to let you know it's full. You simply stop receiving mail

Pretty much this, everything the OP is complaining about is to be expected when using ISP based email service.

Either get a Gmail account and tell everyone about it and try and setup a forwarding from the orcon one (if possible) or you can try and change your email setup in Outlook to IMAP and just delete emails in Outlook which then (should) delete emails on the Orcon server.

Not an expert here, but use Orcon email.

In your Orcon webmail, to delete multiple emails etc, click on top one so it is blue (don't open it) while holding down shift key, scroll down to bottom of your many emails, click on bottom one, all should highlight blue, then click delete, do same in your "deleted Item's" folder and all should be gone.

In Outlook 2016 (don't know if it works if you use exchange), for POP3 go into your Orcon email setting, advanced, under " leave a copy of message on the server" you can set to delete after ??? days and/or from deleted items.

Trying to use POP3 as a hosted email solution and keeping mail on the server while trying to use an Email client such as Outlook and a mobile device *always* ends in tears at some point. The protocol was never designed for that, and hacks to it may work fine but there is always that one time things break. There have been plenty of such horror posts on here over the years.

IMHO if people want email on a desktop and mobile device they should be using something that supports EAS. There will be those that disagree, but EAS solutions simply work.
