I hope this is the correct place to post this as i am currently in a pickle, neither understanding what to do, how to do it or weather to do anything... I work in the textile industry and our business demands we get email orders on time so we any send out the orders that day (as most businesses like us do).

We have currently changed our email hosting over (about 2 months ago) and as everything seemed to go alright in the first couple of weeks we found we were receiving our emails later and later from there server (using Outlook 2010). First some emails would come in 30mins-1 hour late, im alright with this as we can still send out any orders coming through this late. But After about a month i am now receiving emails up to 24hours late which is a major pain for me (can get me in trouble sometimes). 

I have spent many a time on a phone to them trying to get this sorted and i finally got my answer;


I've spoken and expressed your concern about the email delays that seem to be a regular occurrence to our server administrator and to my manager. Although we provide domain and email hosting to our clients, this is mostly for convenience's sake as it makes it easier to keep track of the billing for the website, domain hosting and email hosting, etc. In what seems like an influx of spam emails - the email servers are getting a bottleneck issue in sending out these emails, which you've mentioned is frustrating to say the least, especially when there are urgent or important emails that are getting to you much later in day or the day after.

As this is not the core aspect of our business, as you can see there is some struggle with getting important emails from your customers to your respective mailboxes. And as your business grows you may require a faster email hosting service. Two such hosting services are Google Apps and Microsoft 365.


I am confused on this as we have paid for there services and it seems they are trying to avoid any true solution to our problem.

I wont mention who we are with as that is unfair, but i would just like to know if i have any options i can through to right with this company or will i have to change over our email hosts?

Sorry i dont have a tl/tr but yeah any advice?

Follow their advice. They are probably running a mail server because they can, an easy ay to make money. Move your hosting to a commercial service like office 365 and pay by the user.

Setup an Office 365 account (if your users want to continue using Outlook) or if they don't mind web-based use a Google Apps account. Both charge per user but you get a much more reliable service.

That is not normal,and it shouldn't be getting delayed. It sounds like they don't want your business any longer. Ask for a refund and move provider, I don't think you have got much option.

Yes this is totally crazy, working in the hosting business myself anyone who offers this kind of service to clients clearly does not want your business. Seems their main business is domain registrations and they do not care about the freebie email service they give. You can easily setup Google Apps to handle your email and point he MX records on your domain to google or move to a proper hosting company. plenty to find if you google it.

There are NZ providers as well whom I would consider in front of (especially Microsoft) where the servers tend to be in Hong Kong and can have problems.

I have been very happy with Google Apps (hosted Gmail). It can be used via POP and IMAP and should work nicely with Outlook if you want to continue using that.

The spam filter on Google Mail is the best I have ever seen, and the uptime of the service is also very good.

Note that Google Apps via IMAP will only sync email from Outlook - no contacts, calendar, tasks.

Have you checked the headers of the emails to see where the delays occur?

Sure, some providers might be better than others but in the end, email doesn't work in realtime. You're always at the mercy of others further up the stream!!

Sorry, headers?
Its never the same company the emails from, and i can get an email from the same person sent 20 minutes apart.

Would anyone no the pros/cons of google vs micosoft? just honest opinion :)

Hi Tim,

I used to work for a New Zealand Website Hosting Company as a Systems Administrator and email is one of the most annoying things to work out where the issue is.

And a lot of the time issues and delays are caused by several factors.

Amount of targeted spam to the server or from the server. Often you will have another customer/s on the same server who is sending out several thousand legitimate emails each day which means they can not just  shut them down.

Also a lot of hosting companies will employ features such as Anti Spam Proxy server which uses features such as grey listing (which delays an email on purpose) 

I myself use google apps and find it great as I know they employ a large mail cluster so it is great for about all situations. and can be configured to pick up your email from outlook either using pop3 or imap (which stores a copy on the server so can be used while on the go)
