Hello, I am quite new to the cloud...I have looked around many google articles but have not found what I am looking for

I have several PC's that I need to setup for people to use. Each PC uses the same outlook 2007 program and address/user

This system has been like this for the past 10 years, and has over 10 years worth of emails on the server

Each time I setup a new PC, it needs to download almost 18,000 worth of emails from the server.

I have tried Exporting the 18,000 emails and preloading them into Outlook 2007, then using the "Send/Receive" function. The outcome is the same... downloading 18,000 off the server

Is there a better system I can use? I do not have permission from the owner to remove any of the emails from the server...

Is there a more efficient way to do the above?

Need to specify a bit more

Server storage method (365, exchange, ISP, N/A)
Connection method - pop3, imap

As the likes of exchange in local cache mode will do that, but exchange headers only will not.

Connection method - pop3, imap : Pop3.xtra.co.nz, send.xtra.co.nz, using SMTP (same incoming mail server)

As the likes of exchange in local cache mode will do that, but exchange headers only will not. I have tried this method, it works not too bad and is the backup plan if there are no other solutions

That means they are using multiple clients into Yahoo mail via Pop3 and leaving copies on server. Way less than ideal method. You may as well teach them to use webmail and forget the Outlook altogether.

At least tell me they have their own domain name that is redirected to yahoo/xtra and not an @xtra.co.nz email address..

Very hard to move a corporate @xtra.co.nz address away to another host/exchange otherwise

You are spot on, however, my attempts to suggest using webmail have been to no avail. So I am left with the hard decision of trying to work around this.

They are still using @xtra.co.nz and I think are paying a premium on top of that as Xtra is no longer their internet provider.

Any suggestions on solutions would be nice even if its a longshot...

There is nothing you can do - Outlook will download everything that is in the remote mailbox, because that is what it is designed to do (basically, compare what is in the servers mailbox to what it has downloaded, and download the difference).

It is truly a horrible way for 10 people to be working - how does one know if another has replied to an email?? It will be horrible when someone sets up an Outlook client one day and doesn't leave the tick in the ;Leave messages on server' box - they will all disappear then.
Does xtra do IMAP? Even that would be better.

They do have it, but they dont recomment using it

But this is a good idea to use (IMAP) will do some research on it. Thanks alot!

That still downloads a copy. But is server interactive. If one person deletes/replies.. it affects all the others

Get someone in who deals with small business IT and get your self on a hosted system like Office 365 or Google Apps. It is absolutely nuts the way things are being done at the moment.
