Anyone got a definitive guide on how to do this correctly?  I know on the surface it looks nice and simple and plenty of guides tell you what to do but it never seems to work out that way.  

 

I have a customer who has 7 email accounts on Office365,  he wants all other 6 to have full access to his emails.  Calendar sharing hasnt been a problem but most of the time when I have shared out the folders it'll come up with everyone else not having permission.  

 

Is there an easy way to do this from the admin panel or does it need to be done on each persons account?  Ive read some guides that have said share it out via outlook (desktop), some via the online portal, some via admin.  I can never remember which is the correct and actual working way of doing it. 

 

Im not after a "shared" mailbox, know how to do them no problems at all.  Im after sharing a particular persons mailbox with particular people in the organisation. 

 

I just found this: Accessing other people's mailboxes in Office 365 so I might give that a shot although it doesnt look anything different to what Id normally do.

Yes, it's the Full Access permission that is required.  That gives the other users the ability to see the mailbox.  If you want them to be able to reply to messages (as the original user) then the Send As permission needs to be granted.  Those instructions look fine to me at a quick glance.

This is how I would do it.

 

  • Go to Exchange Admin Centre
  • Click Recipients and select the user whose mailbox you want to grant access to
  • Click the edit 'pencil'
  • Select Mailbox Delegation in the pop-up
  • Under the Full Access heading add the users you want to share the mailbox with
  • Click Save.

Wait a bit and the shared mailbox will appear in each users Outlook.  It may take a while to sync, depending on the size of the shared mailbox.

 

REMEMBER: this will give the users FULL CONTROL of the delegated mailbox.  They will be able to behave as the mailbox owner.

 

 

 

EDIT: AS Dynamic said above, you'll need to add the names into the Send As box as well

I'll have another play around with it on Tuesday when Im at that customers place.  Pretty sure thats what I was doing but who knows now!  I'll give it a go and see how things work!  Full control isnt a problem :)

If you do it via the web console this week, by the time you get to the site on Tuesday the mailbox should have appeared in their Outlook already.  :)

It could well be Im too impatient when Im there!  Bit like the whole password thing taking forever sometimes to kick in.  I'll do some changes Monday night and see if they are working when I get there Tuesday.  Will be interesting!

Well I gave it a damned good shot yesterday and am glad to say those instructions seemed to work.  Im 99% sure thats how I was doing it before so who knows.. Thankyou people for the information! I have added it to my Google Keep notes for future reference under annoying Office 365 stuff :p
