Hi Folks,

I am just looking into potentially using Exchange online as I need the ability to sync email and calendars across multiple devices.

My setup is a pretty common [business] scenario that is supported well in Outlook, but I cannot find any information on whether it can be achieved in Exchange.


I have a number of mail accounts - to make it easier, we'll call them Hotmail, GMail, Yahoo as people are familiar with this.  On outlook I receive all my email via POP into one mailbox and I can see which account the mail was retrieved from.  There are two reasons for doing this, 1) there isn't enough screen real-estate to support multiple mailboxes in outlook and its a pain to work this way.  2) (and most importantly) Outlook supports being able to set the account each email is sent from when sending email.

This means I can send and receive email using GMail and use a unique signature and reply to address in the email that the user receives. For all intensive purposes for the user it looks like I have logged into GMail and sent the email from there. This applies for all my other accounts.


Now I know Exchange Online supports 'connected accounts' where I can have (as far as I can see) up to 5 accounts that I receive email from.  The issue that I am trying to work out, is how do I send email using unique sent-from accounts (sending email through the email providers SMTP server is what stamps the reply-to and sent-from mail addresses) so that the user sees the correct "from" email address and signature (I don't want them to see my exchange one).

Anyway, as to your question, you can't, really. It will send with your primary address as the 'from' address, and unless I've missed something recently, mail clients can't dynamically modify this in an exchange environment. You'd almost have to create a PoSh script to set your primary address. You could set up different mailboxes in the exchange environment, one for each account, forward them all to one mailbox anyway, and grant your primary user full permissions so that user can send as any mailbox. It would mean having a mailbox (and possibly, user license, depending if your host allows you to use mail groups etc) for each address though.

Being English, I was actually speaking slang which is a legitimate thing for us English people to do.  It is a well known English slang term which many other English speakers often use. :)

Back on topic,  I was actually wondering if it is possible to do something with 'shared mailboxes' one for each account, then use the 'Send As' feature - but cant find any info on how to set this up (my own private account would be the main user account).  I would need the from email address to be 'x@gmail.com, not x@whaterveronline.com).

As Inphinity said its doable but the catch is having multiple mailboxes which means multiple licenses to pay. You can have aliases off 1 mailbox but you then can't send as that address - you mention gmail, yahoo accounts - if you are going to keep these then they obviously wont be hosted with Exchange and you can then keep them as pop (or imap) accounts in Outlook?? Or do you mean you have lots of emails addresses with your own domains which you would transfer to Office 365 (or other Hosted Exchange)?

OK, I got it working (for Hotmail).

1) Signed up for exchange online.
2) Set it up to point to my own domain (MX records and CNAMEs required)
3) Set myself up with email me@mydomain.com
3) Added connected account via OWA client to point to Hotmail a/c (couldn't get GMail one working)
4) On Outlook 2013 (desktop client) create new mailbox (in this case IMAP) to connect to me@mydomain.com. Note needed to use POP as IMap didn't work.
5) Send my Hotmail account an email.
6) Receive email and click reply. On the FROM dropdown, notice that my Hotmail account is shown below the me@mydomain.com - send an email to gmail. Check that it came from Hotmail

Still no idea why gmail wont work, have been connecting to it via pop from outlook quite a bit.

Update: In outlook 2013 You get the 'From' email account field which allows you to select the email account you wish to send from when you reply to an email. It is not visible by default when sending an email, so go to the 'options' menu on the ribbon and select 'show fields: from' (open a new email to see the options menu).

It's 2013. You would think Microsoft would cater for this already. This has been a common issue even back when I was using 2003, surely it can't be hard to implement something!?

Sending email in an exchange environment from different addresses:

1) Set up outlook to connect to the exchange server as per normal
2) Create multiple pop accounts within outlook - set the delivery destination to either its own pst file or the exchange inbox folder
3) If you dont want to receive email for a certain pop account, go into define send/recieve groups and untick the recieve option for that account.

So when you reply to a message, it will send it via the smtp of the mail account it came in on
When you create a new message, near the send button will be a "from" or "account" dropdown where you can select which account you want to send it via - the exchange account, or one of the pop/smtp accounts.
